Features in detail

Point of sale

A till for age-restricted retail

Scan or search, check the ID, take the money and print the receipt. Every total is worked out on the server, so the price, tax and deposit on the receipt are the ones in the books.

  • ID checks by scanning the licence barcode or keying the birth date; only the result is kept
  • Alcohol blocked outside each store’s sale hours and on no-sale days
  • Sales tax and bottle deposits on each line, by the store’s jurisdiction
  • Keeps taking cash sales for up to 8 hours offline, and sends them when the connection is back
  • Shifts with an opening float, paid-ins, paid-outs, drops and a counted close
  • Returns with or without a receipt, by the store’s policy; same-day voids with a manager’s PIN
  • Receipts printed with your company’s header and return policy, and a full receipt history
  • Tender, discount and void reports, and the ID check and refusal log

Coming soon Card payments: the terminal connection is coming soon.

The sales summary: net sales, baskets, average basket, ID checks, weekly sales against last year and how people paid.

Products and stock

Every product at every store, and stock that keeps up

One product list across your stores, with each store’s own cost, shelf price and stock. Sales take units off the shelf, deliveries put them back, and Backstock knows how fast each product sells at each store.

  • One catalogue with pictures, and each store’s cost, price and stock for every line
  • Physical counts by category or aisle on a phone, by staff who never see a cost
  • Write-offs for damage, theft or spoilage, approved by someone else above a limit
  • Transfers between stores suggested before buying more
  • Aisles, coolers and the backroom, and what is kept where
  • Stock on hand as of any day, the stock movement ledger and the shrink report
  • Shelf tags for every changed price, store by store
The product catalogue as cards, each with its price, margin and stock against the reorder point.

Purchasing and payables

From the suggested order to the paid invoice

Backstock suggests what to order from each vendor, receives the delivery, and matches the vendor’s invoice to the order and what came in before anyone pays it.

  • Suggested orders by vendor, with case packs, lead times and minimum orders
  • The Monday run: decide costs, reprice, reorder and send, one step after another
  • Purchase orders as PDF or CSV, emailed from your own mail server
  • Deliveries received in parts; AI reads the delivery note or invoice for a person to confirm
  • Vendor invoices matched three ways, within a tolerance you set, with a second approver over $2,500
  • Credit memos for short, broken or returned goods, applied to invoices
  • Payments recorded by check, ACH or card, with terms held to the state’s credit rule
Vendor invoices: what was shown, what is still owed, what is held for review, and each invoice’s match status.

Pricing

Catch every cost increase before it eats the month

When a distributor’s cost goes up, Backstock shows what it costs you per year if the price is left alone, and proposes a new shelf price that holds your target margin — with the price endings you use, like .99.

  • A Cost Changes queue of every vendor increase and decrease
  • Accept or keep in bulk, with one-click undo
  • Price rules by category: a target margin or a markup
  • Delegation limits by region or district: small moves settled locally, bigger ones go up
  • A price history of who changed which price, when and why
Cost changes: which vendors are raising prices, and by how much a year.

Books

Double-entry books for every company you own

Each company has its own chart of accounts and posting rules. Every document posts a balanced entry as it happens, so the reports are current every day, not at month end.

  • Balanced entries posted from sales, returns, receipts, invoices, payments, expenses, counts and transfers
  • Trial balance, balance sheet, P&L, A/R and A/P aging and a cash flow outlook
  • Sales tax by jurisdiction, the bottle deposit report and the 1099 summary
  • Manual journals, balanced and only into an open month, with the reason
  • Month-end close per company, and intercompany moves posted to both companies
  • Fiscal year and period lock, and an audit trail with before and after
  • Time-boxed, read-only access for your accountant, with every view logged
The trial balance for one company: each account’s debit or credit, marked balanced.

Expenses

Every expense, on the store it belongs to

Rent, wages, card fees, utilities and supplies come in however you keep them, and each one is filed under a category and a store. Shared costs are split across stores by the rule you choose.

  • Bills typed in with the receipt attached, or imported from a spreadsheet
  • Card and bank statements uploaded as OFX, QFX or CSV, with categories suggested
  • Petty cash for each store: spends with receipts, top-ups and counts
  • Payroll imports: wages, employer taxes and benefits from your provider’s file
  • Approval limits for how much each person may spend or pay without an owner
  • Shared costs split by floor area, revenue or equally, or charged to one store
Money this month: net sales, gross profit, operating expenses and net operating, with spending against budget.

See every store

Margin and P&L by store, region and company

See which stores earn their keep. Gross margin is worked out on the sales whose cost is known, and Backstock tells you how much of the sales that covers.

  • Gross margin by region, store, category and product, against the weeks before
  • P&L by store and by company, and a waterfall from sales to profit
  • Charts for sales by day, category mix, margin against volume and the busy hours
  • Every chart has a plain-English sentence above it saying what it shows
Profit and loss: from sales to profit as a waterfall, and which stores make money.

Ask in plain English

Your figures, your AI

Ask a question the way you would ask your bookkeeper, from any screen. Backstock answers with the AI provider you connect — Claude, OpenAI, Gemini or any OpenAI-compatible service — using only the reports that person’s role is allowed to see.

  • “Which store had the lowest margin last month?” — then ask a follow-up
  • “Ask about this” on any chart, from what the chart shows
  • Answers name the report they came from
  • Runs on your own AI key, with a monthly usage limit you set

Charts that say what they mean

Every chart comes with a sentence

Above each chart, a plain-English line says what it shows, so nobody has to decode an axis to find the point.

  • Sales and margin by day
  • Category mix
  • Margin against volume
  • When the store is busy
  • P&L waterfall
  • Who is raising prices
  • How long stock will last
  • Spend by vendor
  • Spending against budget
